Overview

What is call recording software?

Call recording software captures phone conversations as audio and stores them so they can be played back, searched and kept as a record, usually with a notice telling callers the call is recorded.

Its main parts are:

  • Automatic capture: calls are recorded without anyone pressing a button.
  • Recording notice: a message at the start tells callers the call is being recorded.
  • Online storage: recordings are kept in the cloud so they can be found later.
  • Search and playback: calls can be looked up and replayed later.

With RingOut, recording starts after the notice on every call Miya takes, with a transcript and summary attached. It covers calls answered for your business, so calls you make or take on a personal mobile are not included.

The problem

Where Australian businesses lose track of calls.

A phone call leaves no paper trail. When a detail is questioned weeks later, it comes down to what each person remembers.

The quoted price

4:10 pm, Thursday

A customer of a painting business in Coorparoo says they were told a two-bedroom repaint would cost $2,800. Nobody can remember what was said on the phone.

The transcript shows the price Miya gave from your list, word for word.

The unit number

7:25 am, Monday

A locksmith in Parramatta arrives for a lockout and the unit number on the job sheet is wrong. The caller said it once, early on a Monday, and it was written down in a hurry.

Replay the address and access details straight from the call.

The disputed promise

2:40 pm, Wednesday

A customer tells a Ballarat car service centre they were promised a Saturday slot. The owner has no way to check what was agreed.

Search the caller's number and hear the call again.

How it works

How cloud call recording works.

Cloud call recording works in four steps: Miya tells the caller the call is recorded, the conversation is recorded, a transcript and summary are written, and the call is saved to your dashboard to search and replay. Recordings are kept online, so there is no recorder or phone hardware to install.

  1. 1

    Recording notice plays

Each call opens with a short line letting the caller know it is recorded. You can keep the standard wording or write your own.

  2. 2

    The conversation is recorded

Both sides of the call are captured from the moment Miya answers until the caller hangs up.

  3. 3

    Transcript and summary written

Every word is transcribed with who said it and when, and a short summary notes why the person called and what happens next.

  4. 4

    Search and replay

Calls land in your dashboard. Look one up by the caller's name or number, or by date, and play it back in your browser.

Sample call

Hear Miya handle a recorded call.

Law firms like to keep an exact record of first contact. This new-client call to Hartley and Co is saved as audio with a word-for-word transcript.

  • Every word is kept for later review
  • The firm can check what was promised
  • The transcript is searchable
  • A consultation is booked during the call

Benefits

Benefits of call recording software.

The main benefits of call recording software are settling disagreements with the facts, catching details you missed, checking what was quoted, better answers from Miya, less note-taking and arriving prepared for each job.

Settle disagreements with the facts

When a customer remembers a call differently, play it back instead of arguing over who said what.

Catch details you missed

Addresses, unit numbers and access codes are on the recording and in the transcript, so a rushed note is never the only copy.

Check what was quoted

Hear exactly which price or timeframe the caller was given from your price list.

Improve Miya's answers

Listen to the questions callers ask most, then add or fix answers in your knowledge base.

Stop taking notes on calls

You don't need a notepad by the phone. The transcript and summary do that job.

Arrive prepared for the job

Read the transcript before you head out and know what the customer asked for.

Good to know: RingOut records the calls Miya answers. It does not record calls you place or receive directly on your personal phone. Recording rules differ between states, so get legal advice for your situation.

Compare

Call recording vs other ways to keep call records.

Most small businesses handle phone call recording with a recorder app on their mobile, the recording option on a business phone system, or handwritten notes. The table below sets those against RingOut.

FAQ

Call recording software FAQs.

Can I automatically record all calls?

Yes, on Growth, Professional and Business. Calls answered on your RingOut number are recorded automatically, with nothing to switch on for each call. Each one starts with a short recording notice, so callers know before the conversation begins. Starter does not include recording.

Where are my call recordings saved?

In your RingOut dashboard, stored in a Sydney data centre. Each recording sits with its transcript, summary and outcome, and you can play it back in any web browser. Recordings stay private to your team, and you choose which staff members get a login to listen.

Can a call be recorded without the caller knowing?

Not with RingOut. Miya introduces herself as an AI receptionist and plays a short recording notice at the start of every call. Recording rules differ between states, so check our call recording consent guide or get legal advice for your business.

Can I search old call recordings?

Yes. Search by caller name, phone number, date or job, then open the recording, transcript and summary together. That makes it quick to find a past quote, check what a customer asked for or settle a question about what was agreed on the phone.

Does RingOut record calls I make from my mobile?

No. RingOut records inbound calls answered on your RingOut number. Calls you make or take directly on your own mobile are not recorded. RingOut does not make outbound calls at all, so every recording is a call a customer chose to make to your business.

Can I record a live phone call?

Yes, on the recording plans from Growth up. Every live call Miya answers is recorded from the moment she picks up, straight after the recording notice. Calls you pick up yourself on a personal phone are separate and would need their own recorder app to capture.

What does call recording software do?

It records phone calls and saves them to play back later. From the Growth plan up, RingOut records each call Miya picks up, writes a transcript and a short summary, and labels how the call ended, so any conversation can be reviewed without listening to all of it.

What is cloud call recording?

Cloud call recording is a service that saves your calls online instead of on a handset or an office recorder, and it is also called cloud based call recording. With RingOut the recording is made on our side, so you only need to divert your existing number.

What is the best software to record business phone calls?

The best software to record business phone calls is the one that matches the calls you need to record. Sales teams making outbound calls often choose call recording solutions built into a dialler, while a local business that mostly receives calls gets more from a call recording service that also answers and writes up each call.

How much does call recording software cost in Australia?

RingOut includes call recording from the Growth plan, at $124.17 a month billed yearly or $149 month to month, AUD ex GST. Transcripts and summaries are part of it, with no setup fee and no separate charge for storing or playing back recordings.

Which plans include call recording?

Recording comes with every plan from Growth upward, priced from $149 monthly in AUD, ex GST. Starter skips recording but still notes who rang and how each call ended. On the higher plans, every recording comes with a transcript and a short written summary you can skim later.

Keep every call on record.

Each answered call is kept as a recording with its transcript and summary, so you can check what was said instead of relying on memory. Start a trial and see your own calls on file.

  • See a recording and its transcript. We play back a sample call and show the summary and outcome label beside it.
  • Nothing to install.Recording starts with the first call you divert to RingOut.
  • A recording notice on every call.Callers hear it first, before any of their details are taken.
