A to Z

AI receptionist glossary, A to Z.

Use this AI glossary to look up any term: each entry gives a plain definition and why it matters to a business answering calls.

13 number

Phone systems

A 13 number is a six-digit Australian business number, such as 13 12 34, that callers can ring for about the cost of a local call from a landline.

Why it mattersShort and memorable, which suits large or national brands. It can be forwarded like any other number.

1300 number

Phone systems

A 1300 number is an Australian business number that callers can ring for about the cost of a local call from a landline, with the business paying the rest of the charge.

Why it mattersOne easy number for customers anywhere in Australia, and it can be diverted to an AI voice agent like any other line.

1800 number

Phone systems

An 1800 number is an Australian freecall number. Calls are free for the caller from landlines and mobiles, and the business pays the full cost.

Why it mattersRemoves any cost barrier for callers, which suits sales and support lines.

AI hallucination

Voice AI

An AI hallucination is when an AI model states something false or made up as if it were true.

Why it mattersGrounding answers in your own business information, and keeping clear limits, reduces the risk on calls.

AI voice agent

Voice AI

An AI voice agent is software that picks up the phone and talks with callers. It hears them, works out what they need and replies in a natural voice, then finishes tasks such as booking an appointment.

Why it mattersIt can answer every call at once, day or night, and finish the job instead of only taking a message.

Appointment reminders

Call handling

Appointment reminders are messages sent before a booking to confirm it and reduce no-shows.

Why it mattersRingOut books appointments into your calendar.

Australian Privacy Principles

Privacy and compliance

The Australian Privacy Principles, or APPs, are 13 principles in the Privacy Act 1988 that set how covered organisations collect, use, store and disclose personal information.

Why it mattersCalls capture names, numbers and details, so ask any provider how it handles that information.

Auto attendant

Phone systems

An auto attendant is an automated phone menu that greets callers and sends them to the right place based on keypad choices, such as press 1 for bookings.

Why it mattersMenus work for routing but frustrate many callers. AI voice agents replace the menu with a conversation.

Average handle time

Metrics

Average handle time, or AHT, is the average length of a call from answer to finish, including any hold time and the follow-up work afterwards.

Why it mattersA useful guide to how many minutes a phone answering plan needs each month.

Business phone number

Phone systems

A business phone number is the number customers use to reach a business. It can be a landline, a mobile, a 1300, 1800 or 13 number, or a virtual number.

Why it mattersWhichever type you use, calls to it can be forwarded to an AI voice agent.

Calendar integration

Plans and billing

A calendar integration, sometimes called calendar sync, is a connection that lets software read your availability and add bookings straight into your calendar.

Why it mattersIt is what lets an AI voice agent book a real time slot during the call. RingOut works with Google Calendar and Calendly, and with Stripe for payments.

Call abandonment rate

Metrics

Call abandonment rate is the share of callers who hang up before anyone answers, usually while waiting in a queue or listening to ringing.

Why it mattersEvery abandoned call is a customer who may try a competitor next.

Call centre

Metrics

A call centre is a team, in-house or outsourced, that handles a large volume of phone calls for a business, often across shifts.

Why it mattersSmall businesses rarely need a full call centre; an AI voice agent covers the answering without the staffing.

Call disposition

Call handling

A call disposition is a label that records how a call ended, such as booked, message taken, needs a callback or spam.

Why it mattersLabels let you sort a day of calls in seconds and see which ones need you.

Call forwarding

Phone systems

Call forwarding, also called call diverting, sends calls from one number to another: always, when busy, when unanswered or when the phone is unreachable.

Why it mattersIt is how an AI voice agent answers on your existing business number without changing it.

Call queue

Phone systems

A call queue holds incoming calls in order until someone is free to answer them, usually with hold music or recorded messages.

Why it mattersQueues are where callers give up. An agent that answers several calls at once avoids them.

Call screening

Call handling

Call screening identifies the caller and the reason for the call before it reaches you, so unwanted or low-priority calls can be dealt with another way.

Why it mattersKeeps sales pitches and robocalls from interrupting your work.

Call transcript

Call handling

A call transcript is a written record of everything said on a call, created with speech to text.

Why it mattersYou can read a two-minute call in seconds, or search old calls for a detail.

Call triage

Call handling

Call triage is sorting incoming calls by urgency and type, so the most important ones are dealt with first.

Why it mattersUrgent calls reach you fast while routine ones wait for a convenient time.

Callback

Call handling

A callback is returning a call to someone who rang earlier, either as soon as possible or at a time agreed with the caller.

Why it mattersA clear note of who to call back, and why, saves time when you are between jobs.

Caller ID

Phone systems

Caller ID shows the calling number, and sometimes a name, before a call is answered.

Why it mattersHelps you spot repeat callers and decide which missed calls to return first.

Caller intent

Voice AI

Caller intent is the reason someone is ringing, such as a booking, a quote, a complaint or an urgent problem, as identified by an AI system.

Why it mattersRecognising intent quickly lets the call go the right way from the first sentence.

Cold transfer

Call handling

A cold transfer connects a caller to another person without first briefing them on who is calling or why.

Why it mattersQuick, but callers may need to repeat themselves. A warm transfer avoids that.

Concurrent calls

Plans and billing

Concurrent calls are the number of calls a phone system or AI voice agent can handle at the same moment.

Why it mattersRingOut answers 2 to 12 calls at once, depending on the plan, so callers are not left in a queue.

Conversational AI

Voice AI

Conversational AI is technology that lets computers understand and respond to people in natural language, by text or by voice.

Why it mattersIt is the foundation of chatbots and AI voice agents that hold real conversations instead of menus.

CRM

Plans and billing

A CRM, or customer relationship management system, is software that keeps customer details, conversations and sales history in one place.

Why it mattersRingOut does not connect to a CRM yet; call records stay in its own dashboard.

Data sovereignty

Privacy and compliance

Data sovereignty is the principle that data is subject to the laws of the country where it is stored or processed.

Why it mattersRingOut stores recordings and transcripts in Sydney; live call audio is processed in the US and not stored there.

Do Not Call Register

Privacy and compliance

The Do Not Call Register is a free Australian Government register where people can list their numbers to opt out of most telemarketing calls.

Why it mattersRingOut answers inbound calls only, so it never makes telemarketing calls on your behalf.

DTMF

Phone systems

DTMF, short for dual-tone multi-frequency, is the set of tones a phone sends when keypad buttons are pressed. Phone menus use them to read choices such as press 1.

Why it mattersKeypad menus rely on DTMF. An AI voice agent lets callers simply say what they need.

Encryption

Privacy and compliance

Encryption scrambles data so only authorised systems can read it, protecting information such as call recordings and transcripts while it is stored or sent.

Why it mattersAsk any provider whether recordings and transcripts are encrypted, both in storage and in transit.

First call resolution

Metrics

First call resolution, or FCR, is the share of calls fully resolved during the first contact, with no follow-up call needed.

Why it mattersCallers who get an answer or a booking first time are more likely to come back.

Hold music

Phone systems

Hold music is the audio a caller hears while waiting in a queue or while a call is being transferred.

Why it mattersLong holds cost you callers. Answering straight away removes the wait altogether.

Human handoff

Call handling

A human handoff, or escalation, is the moment an AI system passes a conversation to a person, by live transfer, callback or a message.

Why it mattersGood handoffs mean callers with complex needs still reach a real person.

Inbound call

Call handling

An inbound call is a call made to your business by a customer or prospect, as opposed to a call your business makes.

Why it mattersInbound calls are often your warmest leads, which is why answering them matters most.

IVR

Phone systems

IVR, short for interactive voice response, is an automated phone system that lets callers choose options using keypad presses or simple spoken commands.

Why it mattersIVRs route calls but rarely resolve them. An AI voice agent can answer the question itself.

Large language model

Voice AI

A large language model, or LLM, is an AI model trained on large amounts of text to understand requests and generate natural language.

Why it mattersIt decides what an AI voice agent says, guided by the business information you give it.

Latency

Voice AI

Latency is the delay between a caller finishing speaking and hearing the reply. In voice AI it is measured in milliseconds.

Why it mattersLow latency makes a call feel natural. Long pauses make callers talk over the agent or hang up.

Lead qualification

Call handling

Lead qualification is asking questions to work out whether an enquiry fits your business, such as the job type, location, budget or timing.

Why it mattersQualified enquiries save you calling back people you cannot help.

Local number

Phone systems

A local number is a standard Australian landline number with an area code: 02 for NSW and the ACT, 03 for Victoria and Tasmania, 07 for Queensland, and 08 for WA, SA and the NT.

Why it mattersA local number signals a business nearby, and it can still be answered by an AI voice agent.

Missed call

Phone systems

A missed call is any incoming call that ends without being answered by a person or a system.

Why it mattersFor many local businesses a missed call is a missed job, because callers ring the next business on the list.

Natural language processing

Voice AI

Natural language processing, or NLP, is the field of AI that helps computers read, understand and interpret human language.

Why it mattersIt lets an AI voice agent understand what a caller means as well as the words they use.

Number porting

Phone systems

Number porting is moving an existing phone number from one provider to another, so the business keeps the same number.

Why it mattersYou rarely need to port a number to use an AI voice agent. Call forwarding is usually enough.

Omnichannel

Metrics

Omnichannel means customers can contact a business across phone, text, email and chat, with the conversation history connected between them.

Why it mattersThe phone is often still the first channel for urgent or high-value enquiries.

Outbound call

Call handling

An outbound call is a call your business makes to a customer or prospect, such as a callback, reminder or sales call.

Why it mattersRingOut handles inbound calls only, so it never cold-calls your customers.

Overage

Plans and billing

Overage is the charge for usage beyond what a plan includes, such as extra minutes of calls in a busy month.

Why it mattersCheck overage rates before choosing a plan. RingOut charges 50 to 99 cents per extra minute.

Overflow calls

Call handling

Overflow calls are calls that arrive when every line or person is already busy, so they would otherwise ring out or queue.

Why it mattersBusy periods are when you can least afford to miss a call.

PBX

Phone systems

A PBX, or private branch exchange, is a business phone system that connects internal extensions and routes calls in and out of the business.

Why it mattersMost PBX and cloud phone systems can divert calls to an AI voice agent.

Pooled minutes

Plans and billing

Pooled minutes are plan minutes shared across several numbers, locations or teams, instead of each having its own allowance.

Why it mattersPooling suits businesses whose call volume shifts between sites. RingOut offers it on Enterprise plans.

Privacy Act 1988

Privacy and compliance

The Privacy Act 1988 is Australia's main federal privacy law. It covers government agencies and many private organisations, including those with annual turnover above $3 million and all private health service providers.

Why it mattersHealth businesses are covered whatever their size, which matters when recording patient calls.

Prompt engineering

Voice AI

Prompt engineering is writing and refining the instructions given to an AI model so it responds the way you want.

Why it mattersClear instructions are why one AI voice agent sounds focused while another rambles.

SIP trunk

Phone systems

A SIP trunk connects a business phone system to the public phone network over the internet instead of physical phone lines.

Why it mattersIt is one of the ways larger phone systems hand calls to an AI voice agent.

Spam calls

Call handling

Spam calls are unwanted calls such as robocalls, telemarketing and scam attempts.

Why it mattersThey waste time and interrupt work, which is why screening them out pays off.

Speech recognition

Voice AI

Speech recognition is the ability of software to identify spoken words and convert them into a form a computer can work with.

Why it mattersAccurate recognition of Australian accents is what lets an AI voice agent understand callers.

Speech to text

Voice AI

Speech to text, or STT, converts spoken audio into written text, either live during a call or from a recording afterwards.

Why it mattersIt powers call transcripts, so you can read a call instead of listening to it.

Speed to lead

Call handling

Speed to lead is how quickly a business responds to a new enquiry after it arrives.

Why it mattersThe first business to respond often wins the job, so answering instantly matters.

Telephony

Phone systems

Telephony is the technology for making and receiving phone calls, from traditional phone lines to internet-based calling.

Why it mattersModern telephony is what lets software answer calls on your business number.

RelatedVoIPPBX

Text to speech

Voice AI

Text to speech, or TTS, converts written text into spoken audio. It is the voice an AI voice agent uses to reply to callers.

Why it mattersA natural voice is what makes callers comfortable talking to an AI.

Triple zero (000)

Phone systems

Triple zero, or 000, is Australia's emergency number for police, fire and ambulance.

Why it mattersAn AI voice agent should never handle emergencies. RingOut tells anyone describing danger to life to hang up and ring 000.

Virtual phone number

Phone systems

A virtual phone number is not tied to one physical line or handset. Calls to it are routed over the internet to whatever phone, app or service you choose.

Why it mattersLets a business answer from anywhere, or hand calls to software, without new phone lines.

Voice AI

Voice AI

Voice AI is the use of artificial intelligence to understand, process and produce spoken language, combining speech recognition, language models and synthetic voices.

Why it mattersIt is the technology behind AI voice agents that answer business calls.

Voice cloning

Voice AI

Voice cloning is creating a synthetic copy of a specific person's voice from recordings of them speaking.

Why it mattersCloning a real voice needs that person's clear consent. Many businesses choose a ready-made voice instead.

Voicemail

Phone systems

Voicemail records a message when a call is not answered, so the owner can listen to it later.

Why it mattersMany callers would rather try another business than leave a message.

VoIP

Phone systems

VoIP, or voice over internet protocol, carries phone calls over an internet connection instead of traditional copper lines. Most NBN phone services use it.

Why it mattersVoIP phone systems make it simple to divert calls to an AI voice agent.

Warm transfer

Call handling

A warm transfer hands a caller to a colleague after briefing that colleague on the caller and their reason for ringing, so nothing needs repeating.

Why it mattersA smoother handover for urgent or complex calls.

FAQ

AI receptionist glossary questions.

How is this AI receptionist glossary kept up to date?

We review the glossary when terms change or new technology appears, and the review date is shown at the top of the page. If a term you need is missing, send it through our contact page and we will consider adding it in the next update.

What is the difference between an IVR and an AI voice agent?

An IVR offers a fixed menu of options, while an AI voice agent holds a natural conversation with the caller. Callers press keys or say simple words to move through an IVR. The agent understands the request and can complete it, such as booking an appointment, so the call often ends with the job done.

What does warm transfer mean?

With a warm transfer, whoever answers first gives a colleague the caller's name and reason for ringing, then connects them. The caller does not need to repeat their details or explain the problem a second time. A cold transfer connects the call without that briefing. RingOut call transfer is coming soon.

Do I need a new phone number to use an AI voice agent?

No. Most businesses keep their existing number and use call forwarding to divert calls to the AI voice agent, either all calls or only those that are busy, unanswered or after hours. Your customers notice no change, and you can switch the forwarding off at any time.

Is a 1300 number the same as a virtual receptionist?

No. A 1300 number is a type of phone number that routes calls to your business. A virtual receptionist is a service that answers those calls. You can forward one to that kind of service, or to an AI voice agent, exactly as you would with any other line.

How much does an AI voice agent cost in Australia?

RingOut's AI voice agent costs $49 monthly on the Starter plan, or $40.83 a month when billed annually, priced in AUD before GST, with 60 answered minutes included. Plans step up to $699 a month for busier businesses, and there is no setup fee. Other providers may charge per call, per minute or a setup fee, so compare the full monthly cost.
